Policy

The Land + Nature Skills Service (LANSS) operate under the governance of a Partnership between Cumbria Chamber of Commerce, University of Cumbria, Cumbria Wildlife Trust and The Farmer Network. LANSS primarily align with Cumbria Chamber of Commerce (Chamber) policy. References to ‘We’ or ‘Us’ refer to LANSS and the Chamber. We understand that the information you trust us with is important to you, and we are committed to protecting that information and respecting your privacy.

As part of this we are fully committed to complying with the provisions of all applicable Data Protection legislation and regulations such as the Data Protection Act 2018 and UK GDPR.

This Privacy Policy sets out how, when and why we collect, use, share and retain your personal information, in what situations we may disclose it and how we keep it secure.

This Policy is adopted by LANSS as of 21st May 2024. It will be continuously assessed against new technologies, business practices, regulatory changes and the evolving needs of LANSS and the Chamber and the services provided by LANSS.

The Chamber is registered with the Information Commissioners Office, the UK’s Data Protection Authority.

What information we collect about you

We need to collect information about you to offer and deliver our Service, this can include personal information about you and others in your organisation. Primarily this is information we collect directly from you, some may be from other sources. We will not collect personal data about individuals except where there is a legitimate business requirement or when such information is provided by you on a voluntary basis.

Why we use the information about you

We collect and use your personal data to give you information in relation to: our services; the website; to deliver support to you or your organisation where you have engaged with us; to deliver support to you where you or your organisation has completed a form to request further information; to engage with you, provide newsletters and updates such as new services or events; prospecting new learners, providers and employers; account management; to process and respond to enquiries received from the public or other relevant stakeholders; to contact you to seek your views or comments on our service, partners services or related issues; to undertake research and analysis; to improve the services we offer; to protect us and you from fraud; to report to funders; and to inform you of other services that may interest you.

The personal data held by us may also be used on an aggregate basis without any personal identifiers to provide third parties with information, such as the composition of engagement; to help us develop services, improve the features and content of our websites or other communications; and to provide sponsors and others with aggregate information about our members, online communication users and their usage patterns in relation to services.

To process your information we rely mainly on the following legal bases:

  • Performance of a contract – the use of your information is necessary to perform a contract that you have with us.
  • Legitimate interest – we may use your information for our legitimate interests such as to provide you with the most suitable support, website experience, emails or newsletters, or to improve and promote relevant courses or business services, along with administrative, fraud prevention and detection and legal purposes.
  • Consent – we may rely on your consent to use your personal information for certain services or for direct marketing purposes. You may withdraw your consent at any time. Please use the opt-out at the bottom of our emails or contact us using the details provided at the end of this policy.

We also gather data through networking (e.g. business cards, event registrations) and add these details, if relevant, onto our CRM or other data management system. We may on occasion purchase ‘opt-in’ data (lists from reputable providers) for promotional campaigns.

Sharing information

We may have to share your information with trusted third party service providers, partners and/or funders in certain circumstances. We do not sell your personal information to third parties.

Retaining your data

The personal data collected is stored in one or more of LANSS and the Chamber’s CRM systems and other appropriate data management systems, both paper based and electronic.

We, and the information we collect about you, is subject to various regulatory, legislative and contractual requirements.

We will endeavour not to keep your personal information for longer than we have to for us to fulfil our obligations to you and funders and legal/regulatory authorities. Where it is not possible for us to delete your data we will ensure appropriate security and organisational measures are in place to protect your data.

Information security

We work hard to keep your data safe. The Chamber is ISO27001 accredited throughout the organisation and its activities. We use an appropriate combination of technical and organisational measures to ensure, as far as reasonably possible, the confidentiality, integrity and availability of your information at all times. We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We limit access to your personal data to only those employees, contractors or agents and funders who have a legitimate business need to have access to that data. They will be subject to a duty of confidentiality and due care with respect to handling the personal data.

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

Information we collect through your use of our websites

We collect information through the use of cookies and similar technologies to enable us to remember you when you visit our websites and to improve your on and offline experience.

The use of these cookies helps us understand how you use our websites, view our services and respond to our communications activity, so we can tailor communications and enhance our service offering to you.

When you visit one of our websites we may record your device information, including IP address, hardware and software used, general location and when and how you interact with our websites.

This information is retained and used to note your interest in our services and improve your experience. When you receive communications emails from us we may use technology or links to determine how you use our direct communications and your interest in it.

Links to Third Party Sites

Where appropriate and only for our legitimate business needs we may provide links to third party web sites, or advertisements which contain links to third-party sites. These links are provided as a service to you. The linked third party websites are operated by independent entities that have their own privacy policies. This privacy policy does not apply to such other websites or to the use that those entities make of your information. We have no control over the content displayed on such sites, nor over the measures, if any, taken by such sites to protect the privacy of your information. The LANSS website may also serve third party advertisements, or other content that contains their own cookies or tracking technologies. We do not control the use of those technologies.

Opt Out

LANSS is a service delivery platform and for its legitimate business interests, must maintain contact information on its users, learners, providers and employers and the wider business community to communicate information on support services, events, training courses, policy and research, and any other products or services we offer.

We also send communications promoting our events, training courses, services, policy and news and other relevant offerings. From time to time we collaborate with other relevant organisations to highlight other information that may be of interest to learners, providers and business. We distribute the organisation’s information on their behalf to those who may legitimately benefit from or have elected to receive such information. We do not provide these organisations with any personally identifiable information. If you do not wish to receive marketing material, you may opt out. Every marketing e-mail will include an ‘unsubscribe’ link at the bottom. You may also notify LANSS in writing as set out below.

Access to your information

You have the right to request a copy of the information we hold about you. We will provide this information within one month of receiving your request, made in writing to the contact details at the end of this policy, and verifying your identity.

It is important that the personal data we hold about you is accurate and current. We will take all reasonable measures to ensure that the personal data we hold about you is accurate.

You have the right to contact us if you believe your personal information is incorrect, or if you believe we are no longer entitled to use your personal data. If you have any questions about how we use your personal information, please contact us using the details at the end of this policy.

Social media

We may use third party provided tools to manage our social media interactions. If you send us a private or direct message via social media the message may be stored by these tools. Like other personal data, these direct messages will not be shared with any other organisations.

British Chambers of Commerce

The Chamber is part of a network of 53 Chambers of Commerce across the UK accredited by the British Chambers of Commerce (BCC). One purpose of the Chamber is to “influence the function of …any governmental body”. This objective is stated in the Chamber’s ‘Articles of Association’ . We will provide BCC with your company’s email address in order for BCC to conduct research into the impact of policies on your business.

What does the BCC do with your data?

BCC will not contact your business for any other purpose other than to notify you of an opportunity to respond to a national policy survey. Each year, BCC conducts around five surveys which directly help us develop and shape Government policy across a range of areas, including business taxation, international trade, and employment conditions. The data from these surveys are completely anonymised and aggregated so that individual responses cannot be identified. The anonymised data are then presented in closed briefings with stakeholders across UK Government, and shared publicly through BCC’s press team.

The purpose of carrying out the surveys is to produce reports, which BCC and the Chambers can then use in their activities in promoting and protecting the interests of UK businesses; in other words, they are part and parcel of the function and purpose of BCC and the Chamber.

You can contact us if you do not wish to be contacted by BCC, and you will have the opportunity to unsubscribe from BCC’s research mailing list at any point. If your or your parent company’s membership of a local Chamber has lapsed, the BCC may continue to contact you about opportunities to respond to business surveys. You can choose to opt in or out of further contact with the BCC.

Complaints

We work hard to ensure your personal information is treated safely and securely. However if you have a complaint please write to us using the contact details at the end of this policy. You also have the right to complain to the Information Commissioner’s Office.

Changes to our privacy policy

This privacy policy was last updated on 28th May 2024. We review our privacy policy regularly and will place any updates on our websites and in relevant communications.

Who to contact in relation to processing of personal information

Cumbria Chamber of Commerce and Industry Ltd controls the processing of personal data on its systems.
